Job Description:

GRADE 14

Work a schedule during the academic year of Monday - Friday, 8:00 a.m. - 4 p.m. Schedule varies between academic and non-academic year according to library operational hours and may include some evening, weekend and holiday hours, as assigned.

As Integrated Services Supervisor & Training Specialist

, coordinate and oversee operation of service activities, including information, technical, and reference support, in the UMass Amherst Learning Commons in the W.E.B. Du Bois Library. Support training needs for staff and student employees in the Learning Commons by drafting and administering service training materials.

DUTIES AND RESPONSIBILITIES

Provide service in an integrated public service area as needed during assigned shifts from the service area or while roving, including the provision of expert assistance for the following: tiered information and reference service using discovery tools and subject guides and technical assistance in response to complex user questions. Exercise a high degree of independent judgment in responding to questions or referring to other library staff in accordance to established organizational guidelines.

In collaboration with the Integrated Services Area Team and the Libraries' Training Team, and with guidance and support as needed from the Director, Library Human Resources & Organizational Development, support training needs for students and staff working in the integrated services area by drafting training materials, and updating comprehensive training resources and procedural documentation for staff and student staff working in the integrated services environment. Instruct and assist other staff and student staff in the use of the resources, technology and services in the Learning Commons (LC) and across the Libraries.

Facilitate training sessions and workshops as needed/requested about services provided by the integrated services environment. Maintain ongoing training resources, documentation, and a knowledge base containing Frequently Asked Questions and common referrals, which will be easily accessible in the integrated services environment and to all Libraries staff.

Provide back-up and cross-train other unit staff as needed.

Engage in the Libraries' values and mission by recommending procedural and policy changes as appropriate.

Interview, schedule, train, supervise, and evaluate student assistants who work in the integrated service area in the LC. Monitor student timekeeping system on a regular basis to ensure student time is complete and accurate so student assistants will be paid for time worked.

Serve as poster printing manager by providing outreach and support to poster printer customers. Maintain and update the poster printer manual as well as serve as trainer to the other LC Supervisors. Liaise with university instructors for large-format printing course assignments. Provide training, support and assistance on poster printing to patron base as needed. Serve as manager of the poster printer appointment system and work with Library Technology Services (LTS) in the event of poster printer problems or necessary upgrades. Maintain poster printing supplies. Investigate cutting-edge technologies for possible upgrade to current large-format printing system and the implementation of new printing/rendering software/hardware.

Work creatively, collaboratively, and effectively to promote teamwork, diversity, equality, and

inclusiveness within the UMass Amherst Libraries and the campus.

Determine the need for equipment, supplies or personnel and recommend the acquisition of such.

Assist in orienting new users to the Learning Commons, including leading tours and staffing outreach events on campus; provide tours to individuals and groups as needed.

Stay informed of user needs and academic library service trends, including online learning; information tools and resources; student retention; and emerging trends in undergraduate student learning and engagement.

Participate in collaborative service governance between the Libraries, Information Technology (IT) and other departments as required. Serve on internal library committees by virtue of position.

Participate in the Libraries' assessment program by collecting, recording, and maintaining statistics for monthly reports as needed.

May be asked to represent the Libraries at Five College Committees, Boston Library Consortium Committees, or other selected professional meetings and conferences.

Act as backup Library Building Monitor Supervisor as needed. Exercise considerable independent judgment in coordinating and overseeing security activities and monitoring library users to reduce theft, vandalism, and infractions of library rules in the W.E.B. Du Bois Library.

Perform other related duties as assigned in support of the mission and goals of the Libraries and the department.

Requirements:

Ability to read, write, thoroughly comprehend and speak the English language fluently.

Ability to clearly articulate policies, processes and procedures tactfully and professionally, both orally and in writing.

Ability to understand and follow complex written and oral instructions.

Ability to organize and document workflows and procedures.

Experience with Microsoft Word and Excel. Knowledge of or experience with Microsoft Access, PowerPoint and Outlook.

Ability to master new and existing information technologies and explain them to others.

Ability to adjust and respond effectively to changing needs and priorities in a fast-paced and rapidly evolving environment.

Excellent interpersonal skills and ability to interact effectively and respectfully, and work productively in establishing and maintaining harmonious working relationships with a diverse population.

Ability to organize work appropriately, assess work priorities, work independently and make decisions in accordance with procedures and regulations.

Ability to assemble data in accordance with established procedures; work accurately with names, numbers, codes and symbols; file materials in accordance with standard filing procedures; and maintain accurate records.

Ability to understand responsibilities with respect to conflicts of interest and to behave in ways consistent both with law and with University policy.

Ability to understand and contribute to implementation of departmental and institutional goals for achieving non-discrimination and creating a respectful, inclusive environment that is supportive of diversity.

Ability to use access to sensitive and/or not-yet-public University-related information only in the performance of the responsibilities of position and to exercise care to prevent unnecessary disclosures to others.

Ability to interpret records in library or third party systems and platforms.

Working knowledge of the methods, materials, technologies and equipment used in libraries and computer labs. Knowledge of the principles, practices and techniques of student staff supervision.

Ability to prepare reports and maintain accurate records.

Ability to communicate effectively orally and in writing.

Ability to exercise sound judgment.

Ability to assign work, supervise and review the work of others.

Ability to lift and carry up to 50 lbs.

Ability to speak effectively before groups.

MINIMUM ENTRANCE REQUIREMENTS

Four-year college degree, or high school diploma or equivalent plus two years of academic library experience.

One-year supervisory experience involving training, oversight, and assignment of work in a fast-paced, technology-intensive service setting.

Successful prior experience in a position requiring excellent interpersonal and customer service skills, including tactfulness, resilience, and the ability to overcome obstacles and provide creative solutions.
