Overview
BookOps is the shared technical services collaboration between the Brooklyn Public Library and the New York Public Library, and coordinates the selection, acquisition, cataloging, processing and distribution of library materials. BookOps Acquisitions is responsible for order verification, invoicing, and payment for the New York Public Library and Brooklyn Public Library systems.  Under the general direction of the Deputy Director for Collection Management, the Assistant Director for Acquisitions leads the acquisitions staff at the Library Services Center in all aspects of the acquisitions process of commercially published and/or commercially sold materials, print, digital, and audiovisual, for the BookOps member libraries\u2019 circulating and research collections.
Principal Responsibilities
Reporting to the Deputy Director for Collection Management, the Assistant Director for Acquisitions:

Supervises and directs BookOps\u2019 Acquisitions staff in all aspects of the acquisitions process of published/produced materials for the BookOps member libraries
Collaborates on NYPL Research Library acquisitions activities, print and digital, with NYPL\u2019s Assistant Director for Collection Development and the BookOps Assistant Director for NYPL Research Materials in regards to maintaining effective relationships with research materials\u2019 vendors, and evaluates vendors\u2019 performances on fulfillment and value added services
Coordinates internal partners/resources and third parties/vendors for the thorough execution of projects, i.e. opening day collections, incorporating new formats/services, ILS changes
Monitors and reports on spending for each library\u2019s systems materials budgets, which combined can exceed $40 million; oversees the order management of more than 100,000 orders annually for the over 1.7 million items purchased annually
Contributes to the development of training and identifies vendor-based tools that facilitate materials acquisitions
Oversees quality management for vendor processed materials, ensuring that vendor adheres to agreed upon standards and that the member libraries are properly compensated for vendor errors and omissions
Works with financial representatives at NYPL and the Brooklyn Public Library on activities and issues related to processing and payment, vendor relationships, regular materials expenditures reporting, special project and grant expenditures reporting, and materials expenditures audits
Administers use, maintenance, troubleshooting, and improvements of acquisitions workflows/functionalities for each member library\u2019s integrated library system
Prepares with Acquisitions team members and other BookOps managers regular monthly, quarterly, and annual reports on ordering, payment, usage statistics, and serials processing
Analyzes and evaluates departmental workflows to improve operational efficiency and makes adjustments in work plans to align with member libraries\u2019 strategic initiatives and BookOps\u2019 goals

Required Education & Experience

ALA accredited Master\u2019s degree in Library and Information Studies with relevant professional experience, or an equivalent combination of education and significant acquisitions leadership experience in a large, multi-site organization
5 years successful experience with library acquisitions, including familiarity with the publishing industry and trends in library acquisitions practices in large public libraries and/or research libraries

Minimum Qualifications

At least 5 years proven supervisory experience in a union environment
Significant managerial experience with budget management, fund accounting principles, and invoice processing workflows
Experience in managing vendor fulfillment and services, including those pertaining to shelf-ready product delivery
Substantial project management experience particularly as relates to acquisitions, including coordinating vendor and staff activities, formulating and documenting workflows and procedures, and staff training
Familiarity with one or more major integrated library system\u2019s acquisitions functions/modules/workflows
Proven abilities in team management and in fostering a strong teamwork ethic
Knowledge of one or more project management methodologies and frameworks
Demonstrated commitment to the principles of diversity in the workplace and in collection development

Preferred Qualifications

Familiarity with cataloging practices and standards
Experience working with databases and SQL
