Executive Administrative Assistant to the President/CEO

Working under the supervision of the President/CEO, the Executive Administrative Assistant performs standard and advanced secretarial and administrative duties requiring general experience, skill and knowledge.

Duties and Responsibilities

Completes a wide range of tasks which include preparing reports, statistics and engages in

special projects as directed. May also take and transcribe dictation.

Acts as a liaison between the Community, Nursing Administration, Human Resources,

Housekeeping, Plant Operations and other departments to resolve problems as well as coordinate events.

Reviews and screens incoming mail, visitors and telephone callers for appropriate handling and

distribution. Responds to general inquiries concerning the activities and operations of various hospital departments by relating or referring to established policies and procedures.

Assists in coordinating and planning hospital activities.

Communicates effectively with hospital staff, Board of Trustees, community residents and

organizations, regulatory agencies and patients.

Represents the hospital at professional, civic and governmental organizations and meetings.

Investigates and evaluates information and recommends solutions to selected administrative

concerns on behalf of the President/CEO.

Provides support to Chief Financial Officer through clerical support inclusive of but not

limited to, grant and report tracking, scheduling and correspondence. Provide administrative support to the various hospital departments as needed. Schedules interviews, appointments and maintain the personal calendar of the President/CEO.

Establishes, maintains and revises record keeping and filing systems; classifies, sorts and files

correspondence, articles, records, and other documents.

Job Requirements

Bachelors degree required, preferably in Business administration or Healthcare Administration

Minimum of Five years experience of varied and progressive secretarial responsibilities to senior level officials and two years office management experience with administrative responsibilities required.

Excellent written and communication skills required;must be able to read,write and speak English fluently

Minimum of Five years experience with computer programs including: proficiency in Microsoft Office, Outlook.

Knowledge of principles and practices of basic accounting and budgetary process.
