The Database Specialist for Public Engagement serves as the
database administrator, coordinate proper use and quality control of the entire
system (including memberships, gifts/revenue, single ticket and group sales, events, volunteers, education class registrations, facility rentals and other database functions). The
database serves as repository for data from various departments including events, membership, volunteers and education. In total, it processes programming totaling more than $1.7 million dollars in revenue.
This position focuses on training of staff and volunteers, program-solving, monitoring and resolving data entry and data integrity issues, overseeing basic and advanced mail merges, modifying code tables and making other system modifications when appropriate, and developing related policies and procedures. This position tracks upcoming changes to the
system and ensures proper integration of those updates to serve The North Carolina Arboretum. This position works across all divisions, communicates regularly with the
vendor (Blackbaud), and develops and utilizes a peer network with other
administrators and users at other organizations.
This role, as a member of Public Engagement will also process membership data, gift data, and related correspondence. This work includes coordinating various forms of record processing, determining the best process to maintain database integrity and membership satisfaction, and using strong written and verbal skills to communicate the process to the department, staff from other departments, volunteers, members and customers. The Specialist must enter new and renewing membership information received via online, postal service, telephone and in-person into the membership database using
software. This role will also provide oversight and adherence to a stringent schedule for the production, printing, packaging, and mailing of membership materials, including but not limited to membership cards and renewal mailings; assists with membership communication, prompt and accurate donor acknowledgement letters and other member mailings, including personalized treatment of upper level donors; plans and executes numerous member-related special events, including events for upper level members and other major donors; assists with donor research; and conducts other duties as assigned.

The person in this position needs to understand the database structure and data input requirements. In addition, this position requires dedication to providing excellent guest and member services – especially for upper level members, which are critical to developing and maintaining a positive guest and member experience.
The Database Specialist for Public Engagement serves as a resource to the general public and members of The North Carolina Arboretum Society to provide detailed information; problem-solve both recurring and unique situations; and communicate information necessary to become a user of the
Primary Purpose of the Organizational Unit
The North Carolina Arboretum is a 434-acre public garden affiliated with the University of North Carolina featuring indoor and outdoor exhibits, educational activities, plant-centered research and economic development programs.
SPA Minimum Qualifications
This position requires a high degree of accuracy and attention to detail in all facets of the work, ranging from data input to the output of letters and membership cards to database quality control. The person in this position needs to understand the database structure, data input requirements and report/query techniques. In addition, this position requires a dedication to providing excellent guest services, which are critical to developing and maintaining a positive guest and member experience, both in person and through database transactions.
Required: Bachelor’s degree from an accredited institution. Demonstrated possession of knowledge, skills and abilities gained through experience with data entry, database management and quality control, project management, general administrative assistance, and customer service, or an equivalent combination of training and experience. Demonstrated ability to train others in database use and quality management.
Preference will be given to those applicants with the following training and experience:
Experience with the Altru database or other complex database systems, including, but not limited to, membership, gift/revenue data, class registration and ticketed events. Graduate degree in information science or a related field. Experience working for a not-for-profit organization or similar entity, such as an arboretum, public garden, museum, or historic or cultural institution. Experience managing staff and/or volunteers.
Hiring Salary Range
This is a full-time position with a hiring salary of $36,000 to $38,000 and includes full benefits associated with the State of North Carolina and University of North Carolina. These benefits include employer-paid health insurance, paid leave, tuition benefits, retirement and supplemental options.

Graduate degree in information science or a related field. Experience using and training others in multiple functions within the Altru database or other complex database systems (including, but not limited to, membership and gift/revenue data), for a not-for-profit organization or similar entity, such as an arboretum, public garden, museum, or historic or cultural institution.
The Database Specialist for Public Engagement must have a working knowledge of database management, quality control, data input requirements and report/query techniques within a database system. This position must also have knowledge of mail merging techniques utilizing data housed in a membership. Comfort with change and willingness to adapt to new software and software updates is important.
Accuracy and Attention to Detail
This position requires a high degree of accuracy and attention to detail in all facets of the work ranging from data input to the output of reports, letters, membership cards and overall database quality control. The person in this position needs to understand data input requirements and interpret report results to assist with all aspects of Public Engagement from membership to ticket sales.
The ability to troubleshoot, extract, review and analyze data to anticipate and solve program issues is crucial to this position. Likewise, the willingness and ability to learn new skills as programming changes is vital.
Customer Service and Communication
Well-developed interpersonal skills and demonstrated ability to provide outstanding customer service internally and externally is required. The ability to understand oral and written instructions, read printed words and numbers accurately and deliver excellent customer service is required. Interpreting membership program policies and procedures to both the member and administrative staff is necessary. Composing and delivering information in multiple formats to team members and the Director of Public Engagement will also be required. The coordinator provides and supports personalized treatment of upper level members and their donations through both oral and written communications.
