NYPL’s neighborhood libraries in the Bronx, Manhattan, and Staten Island—many of which date to Andrew Carnegie’s visionary philanthropy at the turn of the 20th century—are being transformed into true centers of educational innovation and service, and vital community hubs that provide far more than just free books and materials.

NYPL is seeking an Assistant Borough Operations Manager (Manhattan/Staten Island) who will work in support of the Borough Operations Manager in managing the overall maintenance and cleaning of a portfolio of approximately 55 facilities. The Assistant Operations Manager has overall responsibility for the entire portfolio in the Operations Manager’s absence.

Reporting to the Director of Facilities

, the Assistant Operations Manager:

Is responsible for compliance with all City and State codes, regulations and laws for portfolio of 93 NYPL Facilities; including: tracking, management and curing of all ECB violations and cooling tower operational requirements (testing land record keeping for 9 sites)

Manages compliance documentation and tracking; i.e. FDNY LOA's, Equipment use permits. fire alarm systems upgrades and inspections

Is responsible for department wide equipment inventory and management; including asset Tracking - elevators, fire alarms, Ac units, boilers, fuel tanks, generators etc.

Manages accounts with Consultants and Vendors to support compliance initiatives

Is responsible for managing operations for a fleet of 62 vehicles; including the reporting and resolutions of motor vehicle accidents, moving violations, procurement and relinquishment of new vehicles; updating and maintaining accurate maintenance vendor ARI, and GPS vendor FleetLocate by Sperion

Directs and responds to all aspects of maintenance and cleaning for the 39th Street Facility; works closely with Capital Construction on library building projects

Provides leadership and direction for the 39th Street Facilities team, including evaluation, monitoring performance, and scheduling of shifts

Sets up and adjusts schedules; reviews, prioritizes and assigns work orders; visits sites to address problematic or complicated requests; orders materials; and administers and monitors budgets

Responds for maintenance and cleaning emergencies during and after regular business hours

Manages outside contractors (noncapital) performing contract repairs, maintenance and minor construction

Responsible for ensuring safe work environments, manages warranty repairs, and preventive maintenance program and work

Strong written and verbal communication skills

Performs related duties as required

Project Management responsibilities for maintenance and cleaning projects

Direct supervision of staff

Responsible for Cleaning supplies and paper products budget

Responsible for managing OT budget for cleaning and ensuring costs are accurately allocated

Bachelor’s degree or successfully demonstrated experience in all phases of building operations, repair or construction, or an equivalent combination of education and relevant experience

5 plus years of successfully demonstrated progressive experience managing a team

Successfully demonstrated working knowledge of building systems and their operations and repair, including plumbing, heating, air conditioning, electrical power, and lighting

Demonstrated knowledge of HVAC and boiler controls, plumbing, and electrical systems and ability to read and sketch diagrams

Good interpersonal, oral, and written communication skills including demonstrated ability to deal effectively with all levels of staff

Successfully demonstrated ability to prepare reports, purchase requisitions, track inventory, and monitor budgets

Strong computer skills, including MS Word and Excel

Valid Driver’s license with good driving record

Must pass physical examination

Experience in scoring Cleaning Quality

Knowledge of green products and their application

Experience managing and leading a large diverse staff in a unionized environment

40 hours per week

Tuesday- Sat 8 am -4 pm
